Who it's for
Small team members who submit work expenses and approvers who review them.
How it works
- Open the product and see the sign-in screen.
- Create a local profile with name, email and role, or pick a saved profile to sign in.
- Land on the dashboard and see team spending totals and charts, or an empty state if there are no expenses yet.
- Choose Add Expense.
- Upload a receipt photo or choose to enter details manually.
- If a photo was uploaded, review the fields read from the receipt and correct any that are wrong.
- Fill in or confirm title, merchant, amount, date, category and note, then save the expense as Pending.
- Open Approvals if signed in as an approver, pick a pending expense, and approve or reject it with an optional comment.
- Return to the dashboard to see updated totals and charts.
- Use filters if needed, then choose Export CSV to download the matching expenses.

What goes in
- Image (optional): One receipt photo per expense, JPG, PNG or WebP, under about 4.5 MB. Larger files are rejected with a clear message.
- Text: Expense title, merchant, amount, date, category, note and submitter chosen from saved local profiles.
- Text: Local sign-in profile: display name, email and role (member or approver). No password is collected.
What comes out
- Text: Dashboard totals, spending by category, member, status and month, shown as charts and summary cards.
- File: A CSV file of filtered expenses that downloads to the user's device.
- Text: Saved expense records with approval status, approver and review comment, visible after reload.
Models
Model Used for Why Muse Wonder Reads a receipt photo and returns structured merchant, date, amount, tax and category fields to prefill an expense, and suggests a category for manual entries. It is the only listed model that reads images and returns structured text. Limits
- Sign-in is local to this browser. It uses a saved name, email and role with no password and no real account, so it does not prove identity and cannot be used on another device or browser.
- Team data is shared only within this browser. Teammates on other devices will not see the same expenses, approvals or profiles.
- All expenses, profiles and approvals are saved in this browser's local storage. Clearing browser data deletes them, and storage space is limited.
- Receipt reading is an estimate. Faded, blurry, handwritten or partly covered receipts may give wrong merchant, date or totals, so the person must check the prefilled fields before saving.
- Approval is a record of a decision made in the app. It does not pay anyone, move money or connect to a bank, payroll or accounting system.
- CSV export includes only the expenses matching the current filters. Check the filter labels before using the file for accounts.
From your inspo
The person gave a text note only, asking for a team expense tracker with local sign-in, expense entry and editing, receipt photo reading, approvals, a chart dashboard, CSV export and saved data.
Takes
- The team expense tracking job: submit, review and approve expenses in one place.
- Receipt photo reading to prefill expense fields instead of typing everything.
- A dashboard with charts and totals for team spending.
- CSV export for use in a spreadsheet or accounts tool.
- Saved data that persists between visits on the same browser.
Cost per run: about $0.02 (est.). One receipt run: about 1,500 input tokens including the image at $4 per million ($0.006) plus about 500 output tokens including reasoning at $20 per million ($0.010) = about $0.016, rounded to $0.02. Manual expense entry, approvals, charts and CSV export use no model calls.
What you asked for 16 of 16 checked and working
- R1: Local sign-in: a person creates a profile with display name, email and role (member or approver) or picks a saved profile, and that profile is still there after a reload. No password is collected and the signed-in name and role are shown in the header with a sign-out option. Works Sign in form has name, email and role with no password, and later headers show Maya Chen as approver with Sign out.
- R2: Adding expenses: a signed-in person can add an expense with title, merchant, amount, date, category, note and submitter, saved as Pending, and it is still there after a reload. - R3: Editing expenses: a person can open a saved expense, change its fields, save the changes, and see the updated values after a reload. Rejected expenses can be edited and resubmitted as Pending. Works Expenses list shows the edited item and Rejected item fixed now listed as Pending.
- R4: Receipt photo reading: a person uploads a receipt photo and sees prefilled merchant, date, total, tax and suggested category fields that they can correct before saving. Works Receipt screen shows prefilled Corner Cafe merchant, 2024-02-15 date, $24.50 total, $2.00 tax and Meals category in editable fields.
- R5: Approvals: a person signed in with the approver role can see pending expenses, approve or reject each one with an optional comment, and the decision, approver name and date are still there after a reload. Works Approvals screen shows Taxi fare approved by Maya Chen on 2026-11-01 with the comment Looks good in Reviewed.
- R6: Dashboard with charts: a dashboard shows total spent, pending, approved and rejected amounts, plus charts for spending by category, by member, by status and by month. Works Dashboard shows total, pending, approved and rejected amounts plus category, member, status and month bar charts.
- R7: CSV export: a person can download a CSV file of expenses matching the current filters, with date, title, merchant, category, amount, tax, submitter, status, approver and note columns. Works Export screen shows filters, one matching expense and Downloaded 1 expenses as CSV after Download CSV.
- R8: Saved data: profiles, expenses and approval decisions are saved in the browser and are still there after a reload, with a clear note that data lives only in this browser. Works Headers state data lives only in this browser and saved profiles, expenses and reviewed approvals appear across screens.
- R9: Navigation: a clear header or sidebar links to Dashboard, Expenses, Add Expense, Approvals and Export, shows the current screen, and shows who is signed in. Works Header links to Dashboard, Expenses, Add Expense, Approvals, Export and Team Profiles with the current screen underlined and signed in user shown.
- R10: Expenses list: a searchable, filterable list of expenses by date range, category, status and team member, sorted newest first, with each row opening the expense detail. Works Expenses screen has search, category, status, member and date filters and opens an Alpha taxi detail panel.
- R11: Deleting expenses: a person can delete their own saved expense after a confirmation step, and the deletion is still in effect after a reload. Works Expense detail shows Delete this expense with Confirm delete and Cancel buttons.
- R12: Team profiles management: a person can view saved local profiles, switch the active profile, edit a profile name or role, and delete a profile that has no expenses. Works Team Profiles lists Maya Chen and Sam Lee Edited with switch, edit and delete options and the profile with expenses note.
- R13: Empty states: before any profiles, expenses or pending approvals exist, each screen explains what will appear there and offers the next action, such as Create profile or Add expense. Works Approvals and Expenses empty states explain what will appear and offer Add your first expense.
- R14: Error states: invalid amounts, missing required fields, oversized receipt files and failed receipt reading show plain error messages and keep the person's entered data so they can fix and retry. Works Add expense shows the photo too large message and Amount must be a positive number while keeping Keep this title and Keep Shop entered.
- R15: Receipt review step: fields read from a receipt are marked as read from the photo, low-confidence or unreadable fields are flagged, and nothing is saved until the person confirms. Works Receipt fields are each marked Read from photo and the screen states nothing is saved until you confirm.
- R16: Form validation and money handling: amounts must be positive numbers, dates are required, totals in charts and CSV use the same saved amounts, and currency amounts are shown to two decimal places. Works Negative amount is rejected and dashboard and export amounts use two decimal places such as $59.99 and $24.50.
Recorded demo Done. Verification passed: the headless R11, R12 and R14 playthroughs (3 passed) and full
npm run verify(25 smoke, 16 of 16 requirements) all pass. I corrected one thing found while reading the screenshots back: the Team Profiles row squeezed…It's live.
